Virtual Event Support

The Virtual Events Committee is composed of staff members from the office of University Events and the office of Information Technology. We provide up to date support, oversight, and guidance in relation to 正澳门六合彩开奖结果 sponsored Virtual Event requests.

Primary platforms for virtual events at 正澳门六合彩开奖结果 are Microsoft Teams and Zoom. Use the information below to help you choose the best platform for your needs.

Requesting Support Services
Requests for an IT “Virtual-Video Conference Technician” requires a minimum of 3 days’ notice.

Additional on-site “face-to-face” event support of a University Events “AV Technician to set up an event” will require a minimum of 30 days’ notice.

University Events “AV Technician for the entire event” will require a minimum of 60 days’ notice.

After deadlines have passed, you may call the IT Service desk for IT assistance or request an AV Technician via the .

AVES on-site Support is on a first come first serve basis with a priority given in accordance with the facilities use policy.

Microsoft Teams
Use Teams for small meetings/class/events with only 正澳门六合彩开奖结果 participants

Total Participants – 250 Max

Only one host – The individual who creates the event moderates the meeting

The recording will be saved in meeting host’s 正澳门六合彩开奖结果 Microsoft One Drive account.

Ad-hoc meetings cannot be recorded only pre-scheduled meetings can be recorded.

All recordings will have a default expiration time of 60 days unless updated by someone with edit permissions for the recording.

Teams CANNOT be integrated with audio visual equipment in the 正澳门六合彩开奖结果 video conference rooms.

Teams can be used with classroom camera systems.

Zoom Meeting
Use Zoom for medium to larger size meetings/class/events with both 正澳门六合彩开奖结果 and Non-正澳门六合彩开奖结果 participants.

Total Participants – 300 Max

Only one host – Host can designate up to 10 co-hosts to help moderate the meeting.

Non-正澳门六合彩开奖结果 Participants are allowed if invited by a 正澳门六合彩开奖结果 Host to participate.

Recording – YES (please note the recording will be saved locally to the host’s computer)

Zoom Meeting can be integrated with the audio visual 正澳门六合彩开奖结果 video conference rooms

If you want to use a video conference room with Zoom, you must create a “Zoom Meeting Using a VTC Room” reservation in .

Once your reservation has been approved by the room approver you can move forward with the meeting.

You are able to connect the video conference room to zoom by following the instructions in this video, or use the Connecting Polycom System to Zoom Meetings (PDF)

If you believe that you need to request a “Virtual-Video Conference Technician” from IT to assist you with the set-up of an 正澳门六合彩开奖结果 video conference room and Zoom Meeting connection, IT requires an EMS reservation with a minimum of 3 business days of advanced notice.

If you are less then 3 business days from your meeting please contact the IT Service Desk for assistance.

Any additional face to face needs such as “AV Technician for the entire event” on site must be requested in the EMS. Please place these on-site AV Technician requests in the EMS 60 days in advance to the event.

If you are unable to make this deadline then you can also request an AV Technician via the .

Zoom Webinar
Use Zoom Webinar for large meetings/events with both 正澳门六合彩开奖结果 and Non-正澳门六合彩开奖结果 participants.

Total Participants – 1000 Max

A max of 99 active panelists/presenters can participate.

3rd party captioning available if purchased and requested through Student Accessibility Services.

Recording – YES -Recording Request must be made in EMS. An “Virtual-Video Conference Technician” will contact you with your final recording within five business days.

Zoom Webinar CAN be integrated with 正澳门六合彩开奖结果 video conference rooms. Please submit your request via the EMS and create a reservation for “Zoom Webinar”.

Please note that Zoom Webinar requires an EMS reservation with a minimum of 14 business days advanced notice.

All approved Zoom Webinars will include at least one “Virtual-Video Conference Technician” for the “entire event.”

Other services like “livestreaming” of the webinar for crowd overflow purposes can be requested in the EMS. Any additional needs such as “AV Technician for the entire event” on site must be requested in the EMS. Please place these on-site AV Technician requests in the EMS 60 days in advance to the event.

Zoom/Teams Enabled Classroom Cameras

Faculty and Staff may reserve one of these classrooms through EMS by selecting the filter labeled Zoom/Teams Enabled Classroom Cameras under the feature section.

A 正澳门六合彩开奖结果 login is required to access the computers in the classrooms that provide the camera and microphone system. A connected laptop will not allow individuals to make use of this new feature.
